Before we Continue, Let’s talk a little about FINCA Malawi:

The Facilities Management Officer (FMO) reports to and works closely with the Administration Officer (AO).  The jobholder is responsible to deliver effective and timely branding, operations and maintenance of FINCA MALAWI premises to ensure a well-functioning, clean appearance and efficient working environment for all offices.  The Facilities Officer will provide administrative support for sourcing necessary office space and locations that enable FINCA MALAWI to effectively offer financial services to our clients, as well as ensuring that all existing and expansion offices are adequately furnished with proper communications, office equipment, supplies, security and other aspects that enable for efficient and safe office operations.  The Facilities Officer will oversee the branding and branch design construction approved by the Marketing Department to ensure network compliance, outside contractor relations and facilities maintenance and management so that all FINCA MALAWI premises present an appealing office look and importantly create an environment that supports a high level customer service and quality client experience.

Job Description

Job Title:                    Facilities Management Officer

Department:              Administration

Reports To:                Administration Officer

SUMMARY

RESPONSIBILITIES

The job holder will be responsible for:

  • Work with various departments to ensure the most efficient use of office space and equipment and assist in obtaining additional office space or market rooms as necessary.
  • Oversee and coordinate all aspects of new expansion branches design, construction, branding, and furnishing
  • Ensure that all offices are regularly cleaned on schedule and that a professional environment is maintained in the offices at all times. Negotiate and manage office cleaning contracts and arrangements.
  • Maintain kitchen facilities, ensuring that these are supplied in accordance with policies and that facilities are clean and in good order.
  • Maintain all ‘common’ office equipment, ensuring that these are continuously in working order.
  • Respond to day-to-day maintenance needs of offices. Ensure that all office commodities and equipment (chairs, desks, computers, etc.) are properly maintained and serviced or repaired.
  • Maintain a list of maintenance contractors.
  • Maintain updated fire safety and first aid kits in all offices.
  • Maintain and log all keys in the office key box or register, in accordance with procedures.
  • Oversee office security arrangements, and ensure that the established security protocols are fully implemented.
  • Maintain all financial services and finance forms on both hard and soft copies
  • Ensure that all offices are adequately stocked with supplies and forms.  Coordinate any supply or form requests from regional or branch offices according to the supply request procedure.
  • Inventory and track all fixed assets of the offices.  Apply proper identification labels and maintain complete documentation. Maintain proper inventory controls and fixed asset registry for all supplies and property.
  • Perform an annual inventory and prepare proper documentation for the removal of damaged assets.
  • Maintain good relations, represent FINCA MALAWI and be first point of contact for all landlords;  also ensure original rental agreements are filed and maintained properly.

COMPETENCIES

To perform the job successfully, an individual should demonstrate the following competencies:

  • Understanding of premise management, maintenance and logistics
  • Strong organization and negotiation skills
  • Ability to build and maintain excellent working relationships with branch staff
  • Complete projects on time and budget
  • Design work flows and procedures

QUALIFICATIONS

  • 2 years of relevant logistics and administrative experience, preferably in an international environment and in a financial services/banking environment
  • Strong knowledge of office maintenance procedures; ability to read and interpret documents such as safety rules, operating and maintenance instructions
  • Experience with asset tracking systems and controls is a plus

EDUCATION & EXPERIENCE 

Bachelors Degree, preferably in Engineering or Architecture, MBA a plus

Language Skills

Fluency in English and a local language.

Computer Skills 

To perform this job successfully, an individual should be proficiency with Microsoft Excel, Word, and Power Point, Visio and CAD.

KEY DELIVERABLES

  • Establish comprehensive maintenance plan for all offices
  • Establish branding plan for all offices and branches in coordination with Marketing Department
  • Maintain and improve upon the asset and inventory tracking system

TRAVEL REQUIREMENTS

Availability to travel (20%-50% of the time)
