Job Description

Dejen Desta Import and Export is one of the leading importer and distributer of iron rebars and other metal products. Our company would like to recruit qualified professional and energetic Office Administrator for its vacant position. The position has attractive Salary and benefit packages.

Job Title: Office Administrator

Reporting to: Managing Director

Job Status: Full Time

Job Profile: The main purpose of the Office Administrator’s job is to support the MD and maintains the smooth running of an office through a variety of administrative and clerical duties. The administrator handle office schedules, manage fleets, coordinate meetings and visits, organize files, answer phones and perform a huge array of other essential tasks.

Principal Accountabilities

  • Coordinating office activities and operations to secure efficiency and compliance to company policies.
  • Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes; and sorting and distributing incoming mail.
  • Ensure general management of the office, overseeing operational efficiency, effective communications, and other types of strategic and tactical planning
  • Maintain facilities management, vendor contracts and relations, and facilitation of all office functions and services
  • Act as primary liaison between the company, staff, and customers, providing information, answering questions, and responding to requests
  • Oversee and achieve organizational goals while maintaining an efficient, productive, and positively cultured office and employee experience
  • Supervising administrative staff and dividing responsibilities to ensure performance.
  • Keep stock of office supplies and place orders when necessary.
  • Create and update records and databases with personnel, financial and other data
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • May take care of website functions and social media profiles.
  • Perform accounting tasks, including purchase order, invoicing and budget tracking.
  • Submit and receive document billing/application and filing for business transactions.
  • Ensure designing, implementing and maintaining filing systems, both electronic and paper.
  • Work with and submit complete fleet management records
  • Be a cheerful representative of the company and relay a helpful and accommodating environment.
  • Other duties as assigned

Job Requirements

Knowledge, Skills, Experience and Qualifications

  • Highly meticulous, BA in Secretary & Office Administration / Management or Accounting from a leading university.
  • Minimum of 5 years’ experience
  • Excellent interpersonal, communications, organization and presentation skills.
  • Fluency in English & Amharic (oral & written)
  • Knowledge of Microsoft Office, general office procedures and telephone protocol particularly word processing and spreadsheet software, and the ability to learn billing software and electronic records.
  • Duties require professional verbal and written communication skills and the ability to type 50 wpm.
  • Ability to operate office equipment (fax, copier, mail, etc.)
  • Customer service experience
  • Proficient in proofreading, spelling, grammar punctuation
  • Spark, imagination, creativity  & Transparent, Self-starter, self-disciplined       direct, with substance
  • Success in roles requiring execution of multiple tasks while responding to multiple priorities.
  • Remain focused in the face of pressure, delivers against timelines, not intimidated by tasks/time limitations.
  • Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information.
