DUTIES AND RESPONSIBILITIES
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Receive and sort daily mail/deliveries
- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
- Update appointment calendars and schedule meetings/appointments
- Perform other clerical receptionist duties such as filing, photocopying, ordering, faxing etc.
- Check the functionality of office equipment like photo copy, telephone line, fax and internet
- Manage and control cleaners activities as per cleaning service agreements
- Requesting and distribute Stationery and cleaning materials to departments and employees.
- Assist the Top level and middle level management in overall clerical/ Secretarial duties.
- Maintains petty cash fund of the office in compliance of Tajir procedure.
- Demonstrates the ability to read and comprehend instructions, correspondence and memos.
- Maintain filing system both soft and hard copy for the office based on Tajir filing system.
- Facilitate Tajir staff meeting and training room, etc.
- Handles incoming mail, parcel and postage from general post office or liaison officer and DHL, EMS, etc. register and dispatch to appropriate staff member. Receive and sort daily mail/deliveries/messages.
- Receives all incoming and outgoing official correspondences, letters, memos, from governmental/ non-governmental offices and read, Register, classify and direct to concerned department/person.
- Managing utilities and other related payment
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Handle confidential documents ensuring they remain secure
- Prepare invoices and provide assistance in bookkeeping
- Making sure the office condition is maintained well and arranging necessary repairs
- Performs other duties as assigned
Job Requirements
Education: Diploma/Degree in secretarial science, office Management, Marketing and related fields
Experience: Two/Three years on similar experience
- Experience on Customer service and service area is advantageous
