Plan International Ethiopia is looking for Temporary Logistics Coordinator for Country Office.

Typical Responsibilities: Dimension of the Role

The Logistics Coordinator has the following responsibilities:

·  The Logistics Coordinator takes responsibility for the output and results of the Logistics Unit with regard to measurable objectives that are mutually agreed on (at least) a monthly basis to the Head of the Department,

·  Ensuring that the department’s objectives are met (either continuously or on time when relevant), reporting progress and results to all stakeholders regularly and pro-actively;

·  Provide support in the development, reviews and implementation of the logistics related policies, procedures and systems in Plan.

·  The Logistics Coordinator is responsible for coordinating the asset valuation and disposal process of Plan.

· Responsible for designing a system for creating departmental profile, establishment of database and reporting

 

1.       Asset Management

· Evaluate the current asset and inventory management for the country in coordination with the CO and PA Logistics Focal Persons in line with PIE and ChSA rules and regulations.

· Establish simple system for managing Asset and Inventory and produce detailed analysis on the overall Asset of the organization based on adequate categorization.

· Coordinate the asset valuation and disposal exercise  CO & PA Logisticians and recruitment of a consultant for management approval

· Liaise with the responsible Government offices on prerequisite informations and clearances for the disposal of Vehicles and Motorbikes in consultation with Head of Logistics and Admin Department.

·      Provide training for staff involved in asset management related activities, with the purpose of sharing the learnings and areas of improvements to ensure a well improved management of asset across the organization.

 

2.       Database Management, Budget Management and Reporting

·   Establish departmental database for Logistics and Admin country wide operations in both hard and soft copy to ensure that records and activities are properly tracked and analysed for managerial decision making.

·  Design departmental reporting tools, coordinate the compilation and analysis of periodical reporting and decision making by management

· Develop profile for all sections of Logistics and Admin Department (Resources, Budget, Risk, Efficiency measure etc.)

·  Support Head of Logistics and Admin Department in facilitating trainings, field visit and assessment of departmental operational gaps and design of systems to ensure efficient Logistical Performance

3.       Transport Management

  • Support the Transport Coordinator in managing records and data with special emphasis on rental vehicles
  • Support in establishing fleet database, reporting and analysis
  • Support in implementations of established action points as improvement of fleet management service delivery

·     Perform other activities as assigned by Head of Logistics and Admin Department

Typical Responsibilities – Key End Results of Position:

·      Approved Asset and Inventory Master List – Hard Copy and System Copy

·      Asset disposal completion confirmation

·      Approved Departmental Profile and Database System

·      Monthly and Quarterly Reporting and Analysis

Job Requirements

Educational Qualification and Experience

·    Bachelor degree in Business Administration, Logistics Management or related field

·    Minimum of 5 years of relevant work experience (with at least two years of which must be in a supervisory position) preferably in NGO environment,

·    Experience as a Logistics Consultant or hands on experience in establishing systems is advantageous

·   Substantial knowledge and experience in logistics mainly in Asset and Inventory Management

·  Knowledge on ChSA regulations on properties/asset
